KiviCare (TM) Pharma Addon

Pharma Role Login

The Pharma Role is specifically created for pharmacy users who manage all pharmacy-related tasks inside the KiviCare (TM) Pharma system. This role gives access only to the features that a pharmacy (medical store) needs to operate daily.

Pharmacy users can log in using the credentials created by the Super Admin and manage their own pharmacy independently.

Pharma Dashboard

The Pharma Dashboard gives you a complete overview of your pharmacy store in one place. From here, you can see key information in real-time, such as Total Medicines, Low Stock, and Total Suppliers. This helps you instantly understand which items have low stock and how many suppliers you have.

The dashboard also displays graphs and charts that visually show monthly purchases and low-stock items. This makes it easier for you to track your pharmacy’s activity and expenses.

Overall, the Pharma Dashboard acts as a complete control center that helps you keep your pharmacy’s day-to-day activities fast, accurate, and well-organized.

Prescription

The Prescription Module allows Pharma users to easily view, manage, and process medical prescriptions assigned by doctors. This module helps you maintain complete clarity of each prescription, including the patient details, doctor details, medicines, dose instructions, and payment information — all in one place.

The page displays an All Prescriptions List, where you can see important details such as Date & Time, Patient Name, Doctor Name, Clinic Name, Pharma Name, Medicine Price, Prescription Status, Payment Status

Step 1: Log in to the Admin Panel.

Prescription Access

  • Click on Prescription from the Sidebar Menu in the Dashboard.
  • On this page, you will see the All Prescriptions list.
  • From here, you can manage all existing prescriptions.
  • Click on the view icon to see its details.
  • You can delete a prescription by clicking on the Delete icon.

All Medicine

The All Medicine section is specifically for the Pharma Role, where pharmacists can easily add, edit, manage, and organize all the medicines available in their store. This section is a very important part of inventory management.

With this module, the Pharma user can store all medicines in one place and easily track which medicines are available, which are low in stock, and which are out of stock.

The Pharma role has full access to manage each medicine’s accurate details, stock quantity, price, and expiry date.

Using this section, pharmacy stock management, purchasing, and billing processes become faster, more systematic, and well-organized.

Step 1: Log in to the Admin Panel.

All Medicine Access

  • Click on All Medicine from the Sidebar Menu in the Dashboard.
  • Here, you will see the All Medicine List, including Medicine NameFormDosagesExpiry DateSupplierManufacturerPharmaSelling Price, and Stock.
  • Click on the Edit icon in the row to make changes. Make the required updates and click Save.
  • Click on the Show icon to view the Medicine Details.
  • Click on the Order icon to place a Medicine Order.

Step 2: Add New Medicine

1. Click on the New button at the top-right.

2. The Medicine Details Form will open — fill in the required fields:

  • Basic Medicine InfoMedicine NameEnter DosagesCategoryFormNote
  • Select Pharma: choose the Pharma
  • Supplier InfoSupplierContact NumberPayment Terms (Days)

3. After filling all details, click the Next button.

4.The Inventory Details Form will open — fill in the required fields:

  • Basic Medicine InfoBatch NoStart Serial NoEnd Serial NoQuantity
  • Other: select ManufacturerExpiry DateRe-Order Level
  • PricingPurchase Price (USD)Selling Price (USD)TaxStock Value (USD)

5. After filling all the details, click the Save button. The new medicine entry will be added to the Medicine List.

Expired Medicine

The Expired Medicine Module allows Pharma users to track all expired medicines in their pharmacy store. This module helps Pharma users remove expired stock, keep inventory clean, and maintain compliance. It is very important for safety and accuracy in pharmacy management.

In this module, all expired medicines are automatically listed, so Pharma users can quickly identify and remove them. This helps prevent mistakes, ensures the stock is accurate and up-to-date, and keeps the pharmacy inventory organized and clean at all times.

Step 1: Log in to the Admin Panel.

Open Expired Access

  • Click on Expired Medicine from the Dashboard sidebar menu.
  • The system will show you the All Expired Medicines List. In this list, you will see details like Medicine Name, Form, Dosage, Expiry Date, Manufacturer Name, Selling Price, and Stock.
  • All expired medicines will be automatically displayed in the list. You can verify each medicine’s expiry date and stock quantity individually.

Supplier

The Supplier Module allows Pharma users to easily manage all medicine suppliers for their pharmacy store. Using this module, you can store and organize important supplier information such as supplier details, contact information, supplier type, associated pharma, and pharma types.

By saving these details, it becomes very easy for Pharma users to create purchase orders, because you can clearly see which medicine comes from which supplier. This also helps maintain a proper supplier history for future reference.

With this module, Pharma users can easily track which suppliers are reliable, who deliver on time, and which suppliers provide specific medicines.

Overall, the Supplier Module helps Pharma users maintain a complete supplier list, making it easier to track medicine sources and manage future purchases efficiently.

Step 1: Log in to the Admin Panel.

Supplier Access

  • Click on Suppliers from the Sidebar Menu in the dashboard.
  • On this page, you will see the All Suppliers List, where you can manage them.
  • Click on the Edit icon in the row to make changes. Make the required updates and click Save.
  • Click on the View icon to see the supplier details.

Step 2: Add New Supplier

1. Click on the New button.

2. A form will open where you can add a new supplier.

Fill in the required fields such as First NameLast NameSupplier TypePayment TermsPharmaPhone NumberEmailStatus, and Images.

3. After completing the form, click on the Save button. Once saved, the new supplier entry will be added to the Supplier List.

Purchased Orders

The Purchase Order section allows Pharma users to manage the entire process of ordering medicines for their pharmacy store. This module helps Pharma users place orders to their vendors/suppliers and keep all purchase-related details organized.

With this module, Pharma users can easily create a medicine order for any supplier. It also maintains a proper record of which medicines were purchased from which supplier.

Once a purchase order is approved or received, the medicine stock gets automatically updated, ensuring accurate inventory levels.

This section also helps Pharma users manage purchase history, total cost, and invoice tracking, making pharmacy operations smooth, fast, and well-organized.

Step 1: Log in to the Admin Panel.

Open Purchase Order (Order Medicine) Access

  • From here, you can manage all orders.
  • Click on Purchase Order from the Sidebar Menu in the dashboard.
  • Here, you will see the All Purchase Orders List, which includes Date, Medicine Name, Supplier Name, Manufacturer Name, Quantity, Delivery Date, Payment Status, and Order Status.
  • Click on the Edit icon in the row to make changes. Make the required updates and click Save.
  • Click on the Delete icon to delete a Purchase Order.
  • In Order Status:
  • Pending â€“ Created but not received
  • Delivering â€“ Medicines received in store; stock updated
  • Cancelled â€“ Order cancelled
  • Click on the Order icon to view the order details.
