Privacy Policy for KiviCare Telemedicine (Zoom Integration)

1. Introduction
The KiviCare Telemedicine Addon is a WordPress extension designed to facilitate telemedical consultations for healthcare providers. We respect your privacy and are committed to protecting your data and complying with the Zoom App Marketplace Developer Policy.

2. Information We Collect
To provide its core functionality, the Addon requires access to specific information from your Zoom Account via the Zoom API:

• Zoom Account Identifiers: We access your Zoom User ID and Email to link your KiviCare Doctor profile to your Zoom account.
• Meeting Data: We send and receive meeting details (Topic, Start Time, Duration, Join URL) to create consultations.

3. How We Use Your Information
We use the access granted to your Zoom Account solely for the following purposes:

• Provisioning Meetings: When an appointment is booked in KiviCare, the plugin automatically calls the Zoom API (/users/me/meetings) to create a secure meeting room.
• Link Distribution: We retrieve the start_url (for the Doctor) and join_url (for the Patient) to display them within the secure Dashboard.
• Status Synchronization: We process Zoom Webhooks (e.g., meeting.ended) to automatically mark appointments as “Completed” in your clinic records.

4. Data Storage and Security

• Tokens: We store your Zoom OAuth 2.0 Access and Refresh tokens securely in your WordPress database (wp_usermeta). These are encrypted at rest where supported by the database engine.
• Meeting Metadata: Meeting IDs and UUIDs are stored in the wp_kc_appointment_zoom_mappings table to map local appointments to Zoom sessions.
• No Media Storage: We never access, process, or store video/audio content, transcripts, or chat logs from your Zoom meetings.

5. User Control and Data Deletion

• Revoking Access: You can disconnect your Zoom account at any time by clicking the “Disconnect” button in the Doctor Dashboard > Settings > Integration > Zoom Telemed > Zoom OAuth Configuration. This action immediately deletes all stored OAuth tokens from your server.
• Zoom Permissions: You can also uninstall the “KiviCare Telemed” app from your accounts via the Zoom App Marketplace (Manage > Installed Apps).
