Encounter Dashboard

Overview

The Encounter Dashboard is the central workspace for Doctors and Clinic Admins to document, manage, and complete a patient’s medical visit. It brings together all essential clinical information—such as notes, prescriptions, reports, and billing—into a single, unified interface.

This dashboard streamlines clinical workflows and ensures accurate documentation throughout the patient encounter.


1. Accessing the Dashboard

To open an encounter dashboard:

  • Navigate to Encounters → Encounter List
  • Locate the required encounter (search by patient name or date)
  • Click the Dashboard button for the selected encounter

2. Dashboard Interface

The Encounter Dashboard is divided into two primary areas to improve usability and efficiency.

A. Left Sidebar: Encounter Details

The left sidebar provides quick context for the active medical session and is divided into two sections:

1. About Patient

  • Profile: Patient name and email address
  • Encounter Date: Scheduled date of the visit
  • Address: Patient’s registered address

2. About Clinic

  • Status: Current encounter status (Open, Closed, or Pending)
  • Clinic Profile: Clinic name and assigned doctor
  • Created: Date and time the encounter record was created

Additional option in the sidebar:

  • Encounter Template (Pro Feature): Dropdown to apply a pre-defined clinical template

B. Main Workspace

The main workspace uses a tab-based layout to organize clinical tasks:

  • Clinical Details: Primary area for medical documentation
  • Body Chart (Add-on): Visual tools for marking pain points or symptoms
  • Custom Forms: Additional forms configured for the encounter type

3. Clinical Details Management

The Clinical Details tab is the default view and is used to record patient history and treatment information.

Key Sections

  1. Medical History:
    • Problems: Record diagnosed conditions
    • Observations: Document physical examination findings
    • Notes: Add general clinical notes or subjective assessments
  2. Medical Reports:
    • Upload or link lab results and imaging reports directly to the encounter
  3. Prescription Module:
    • Add prescribed medications with dosage, frequency, and duration
    • Print prescriptions directly from this section

4. Encounter Templates (Pro Feature)

Encounter Templates allow clinicians to pre-fill commonly used clinical data, reducing documentation time for routine visits.

Using Templates

  • In the left sidebar, locate the Encounter Template field
  • Select a template from the dropdown (e.g., General Checkup, Dental Cleaning)
  • Relevant clinical fields are automatically populated

Managing Templates

  • Templates can be created and managed from Encounters → Encounter Templates.

5. Body Chart (Add-on)

When the Body Chart add-on is enabled, clinicians can visually document symptoms and affected areas.

  • View Charts: See all body charts associated with the encounter
  • Create / Edit: Use the interactive diagram to mark specific body areas and add localized notes

6. Actions & Billing

Print Encounter

  • Click Print Encounter to generate a comprehensive PDF summary, including clinical notes and prescriptions

Completing the Session

To complete the visit and finalize billing:

  1. Click Close Encounter
  2. If billing is enabled, the Edit Bill modal opens
  3. Review services and charges
  4. Apply discounts if applicable
  5. Confirm the total payable amount

Once confirmed:

  • The encounter status changes to Closed
  • An invoice is generated automatically

7. Permissions

By default, Clinic Admins, Doctors, and Receptionists have full access to encounter management, including the ability to:

  • View encounters
  • Add and edit clinical data
  • Delete encounters
  • Export encounter records

All permissions are fully configurable. Administrators can manage role-based access by navigating to Settings → Permission Settings.
